Gmail Canned Responses: Create Gmail Templates in 60 Seconds.

Copying and pasting the same email response over and over is a nightmare. Save time by using Gmail templates (also known as “canned responses”) instead. Email templates let you type less and email faster (and better) in Gmail. We guide you how to set it up in 60 seconds.

  1. Activate Gmail Templates (aka Canned Responses)
    Click the Settings gear in your Gmail’s toolbar. Select Settings from the menu. Go to the Labs tab and make sure Enable is selected for Canned Responses.

  2. Save Canned Responses
    Compose the email message that you would like to have as your canned response. Then click the down arrow on the bottom-right-hand corner of the compose window, hover over Canned responses, then click New canned response…

  3. Insert Canned Responses Into Email
    Nice, we saved our first canned response. Now here’s how to insert the saved response into a new email: Start a new email by hitting Compose, click the down arrow on the bottom-right-hand corner of the compose window, hover over Canned responses, then click on the canned response name (in this case, “FAQs”) under the Insert section.

How to use label in Gmail to organize your Inbox

Label in Gmail is a helpful tool that help you classify your messages. But different from other tools as: folder, importance markers, or stars, you can add more than one label for one message. Messages with the same labels can be reached by click the label name in the left menu.

How to show/hide and add new lables

In fact, your Inbox and Sent box are lables, they are system lables. And you can add more your own labels to better manage your Inbox. And you can also choose what labels to show and what lables to hide follow our instructions:

  1. Sign in to Gmail
  2. After signing in, click click the gear Settings button in the top right, select Settings

  3. Select “Label” tab.

  4. You can choose show or hide the label in the list by click on the link. Your change is saved automatically.
  5. To create new labels, scroll down a bit, there is a “Create new label” button. Click it.

  6. Enter your label, you can nest label also, by tick on “Nest label under:” box and select a parent. Then click “Create” and Done!

How to edit or remove a label

  1. Go to the “Labels” tab in Gmail Settings as step 1,2,3 above.
  2. Sroll down, there is a list of your added labels.

  3. Choose lables and actions (edit/remove) as you want.
  4. Note: When you remove a label, messages with that label won’t be removed. So don’t worry about losing your emails.

How to change label color in the display list

  1. Your lables will be displayed in the left menu of your Gmail Inbox.

  2. Hover on your label, there is drop down icon on the right of label, click on it, select “Label color”, you can choose your color in the list or add custom color there.
  3. You can also choose to show/hide or edit/remove labels there.

How to turn on/off conversation view in Gmail

Conversation View helps you group all email, both old mails and incoming email in the same topic together. Conversation View is on by default, but you can turn it on/off on Computer or Android device. This feature can’t turn off on iOS (iPhone/iPad).

But some people are not happy with this feature, that it’s harder to find their emails. So follow our instructions to turn it on or off.

On Computer

  1. Sign in to Gmail
  2. After signing in, click click the gear Settings button in the top right, select Settings

  3. In General tab, scroll down, you can find “Conversation View” section. Select your choice and click “Save changes” at the bottom of page.

On Android & iOS

  1. Open Gmail app on your device
  2. Tap the Menu icon Menu in the top left of your screen.
  3. Tap on “Settings”.

Set Up an E-Mail Auto-Responder in Gmail

Going on vacation? No access to the Internet? Use Gmail’s vacation responder to let people know that you won’t be able to get back to them right away. While your vacation responder is turned on, Gmail will send your reply to people who email you. Here is how to use it.

How to turn on your vacation responder

  1. Computer
    • Sign in to Gmail
    • In the top-right, click the gear Settings, select Settings.
    • Scroll down to the Vacation responder section (stay in the “General” tab).
    • Select Vacation responder on.
    • Fill in the date range, subject, and message.
    • You can limit who can see your vacation response.
      • Check the box next to Only send a response to people in my Contacts if you don’t want everyone who emails you to know that you’re away from your mail.
      • If you use Google Apps, you’ll also see an option to only send a response to people in your domain. If you check both of these boxes, only people who are in your contacts and your domain will receive the automatic response.
    • Click Save Changes at the bottom of the page.
  2. Android
    • Open the Gmail app
    • Touch the menu Menu.
    • Touch Settings.
    • Choose your account.
    • Touch Vacation responder.
    • Fill in the date range, subject, and message.
    • Switch from OFF to ON at the top
    • Touch Done.
  3. iOS
    • Open the Gmail app
    • Touch the menu Menu.
    • Touch the gear Settings.
    • Switch Vacation Responder from OFF to ON
    • Choose start and end dates.
    • Fill in the subject and message.
    • Touch Save.
  4. Mobile Web
    • Sign in to Gmail
    • Touch the menu Menu.
    • Touch the gear Settings.
    • Switch Vacation Responder from OFF to ON
    • Choose start and end dates.
    • Fill in the subject and message.
    • Touch Apply.

Note: Your vacation responder settings are synced for all versions included: desktop & mobile version of Gmail.

How to turn off your vacation responder

While the vacation responder is on, you’ll see a banner across the top of your Gmail that shows the subject of your vacation response. Click the End now link in the banner to turn off the vacation responder, or click Vacation Settings to edit your response.

Gmail’s Priority Inbox Is Awesome

Priority Inbox is one of Gmail’s best unsung features. If you get a ton of emails a day, and sifting through them—let alone getting notifications for them—is a nightmare. Now your inbox is split up into multiple categories, so you see the important stuff right up top, out of the way of the junk.

With Priority Inbox turned on, Gmail will only notify you when you have an important message. If you keep Gmail open in a tab, that unread count only goes up if you get an important email, so you aren’t constantly tempted by an overflowing inbox.

If you use Gmail for Android, you only get push notifications when something important comes through, so your phone isn’t buzzing all day. Here are a few ways to speed that process along.

  1. First: Go About Your Email As Normal: Priority Inbox learns, first and foremost, just by watching you. If you frequently read messages from a specific sender, it learns to mark those as important, and if you frequently reply to emails from them, it knows even better. If you delete stuff without reading it, it’ll learn that those aren’t important. So, the last thing you should do is just go about your email as normal. Give Priority Inbox a bit of time to learn from your actions. If you have just a little bit of patience, you should use Filters and Labels features.
  2. Use Filters and Labels: Filters help Priority Inbox learn really fast. Say you want to mark emails from your coworkers as important. Just create a Gmail filter that matches from:yourcompany.com and check the box that says “Always Mark As Important.” Similarly, you can use any filter to never mark messages as important. Labels work well for this, too. For example, I have a filter that applies a label called “Internal” to emails coming from any of my coworkers. Gmail now recognizes that many Internal emails are important, though it doesn’t always mark them as important. Depending on the sender and the context of the message, it will use the Internal label as one more deciding factor.filters message gmail
  3. Actively Mark Messages As Important (or Not Important): Before it has time to watch your behavior, Gmail does a lot of guesswork when marking messages as important. Just like with its Spam button, it only takes a click to change a message’s importance. If Gmail gets it wrong, just click the little yellow tag to toggle that.mark message gmail
  4. See Why Emails Are Marked as Important: if you’re ever confused as to why Gmail’s marked a message as important, just hover your mouse over that little yellow tag and it’ll tell you!
