Gmail Storage

Google Accounts include 15GB of free storage to share across Google Drive, Gmail, and Google Photos. If your Google Account is through work or school, you have at least 30GB of storage. It’s great!

Check your storage

To see how much storage you’re using:

  1. Go to drive.google.com or www.google.com/settings/storage
  2. In the bottom left of Google Drive, hover over your storage usage to see the detail information, or hover over the chart at Storage Settings to see the details.

Buy a storage plan

If you’re reaching your storage limit, you can buy more storage. Your upgraded plan will be your new total storage limit. For example, if you upgrade to 1TB, your storage limit is 1TB (not 1TB + 15GB of free storage)

Items that count toward your storage limit

  1. Gmail: All messages and attachments in your mail, including those in your Spam and Trash folders.
  2. Drive: Files up to 5 TB that you’ve stored in Drive, like PDFs, images, and videos. Anything you’ve made with Google Docs, Sheets, and Slides doesn’t count toward your storage limit.
  3. Google Photos: If you choose “Original” in your Google Photos upload settings, your photos will count towards your storage limit. Learn more about Google Photos storage sizes.

Items that don’t count toward your storage limit

  1. Google Docs, Sheets, Slides, Drawings, etc.
  2. Files shared with you.

Gmail Canned Responses: Create Gmail Templates in 60 Seconds.

Copying and pasting the same email response over and over is a nightmare. Save time by using Gmail templates (also known as “canned responses”) instead. Email templates let you type less and email faster (and better) in Gmail. We guide you how to set it up in 60 seconds.

  1. Activate Gmail Templates (aka Canned Responses)
    Click the Settings gear in your Gmail’s toolbar. Select Settings from the menu. Go to the Labs tab and make sure Enable is selected for Canned Responses.

  2. Save Canned Responses
    Compose the email message that you would like to have as your canned response. Then click the down arrow on the bottom-right-hand corner of the compose window, hover over Canned responses, then click New canned response…

  3. Insert Canned Responses Into Email
    Nice, we saved our first canned response. Now here’s how to insert the saved response into a new email: Start a new email by hitting Compose, click the down arrow on the bottom-right-hand corner of the compose window, hover over Canned responses, then click on the canned response name (in this case, “FAQs”) under the Insert section.

How to use label in Gmail to organize your Inbox

Label in Gmail is a helpful tool that help you classify your messages. But different from other tools as: folder, importance markers, or stars, you can add more than one label for one message. Messages with the same labels can be reached by click the label name in the left menu.

How to show/hide and add new lables

In fact, your Inbox and Sent box are lables, they are system lables. And you can add more your own labels to better manage your Inbox. And you can also choose what labels to show and what lables to hide follow our instructions:

  1. Sign in to Gmail
  2. After signing in, click click the gear Settings button in the top right, select Settings

  3. Select “Label” tab.

  4. You can choose show or hide the label in the list by click on the link. Your change is saved automatically.
  5. To create new labels, scroll down a bit, there is a “Create new label” button. Click it.

  6. Enter your label, you can nest label also, by tick on “Nest label under:” box and select a parent. Then click “Create” and Done!

How to edit or remove a label

  1. Go to the “Labels” tab in Gmail Settings as step 1,2,3 above.
  2. Sroll down, there is a list of your added labels.

  3. Choose lables and actions (edit/remove) as you want.
  4. Note: When you remove a label, messages with that label won’t be removed. So don’t worry about losing your emails.

How to change label color in the display list

  1. Your lables will be displayed in the left menu of your Gmail Inbox.

  2. Hover on your label, there is drop down icon on the right of label, click on it, select “Label color”, you can choose your color in the list or add custom color there.
  3. You can also choose to show/hide or edit/remove labels there.

Forward specific Gmail messages to another account automatically

You can choose to forward all new messages or certain types of messages to another account automatically. Note: You can only set up forwarding on your computer, and not on the Gmail app.

Forward all new messsages

  1. Sign in to Gmail
  2. After signing in, click click the gear Settings button in the top right, select Settings

  3. Select “Forwarding and POP/IMAP” tab, click “Add a forwarding address” button.

  4. Enter a new forwarding email address, then click “Next”. enter new forwarding email
  5. Click “Proceed” in the pop-up windows and a confirmation code has been sent to the new forwarding email address. Click “OK”.
  6. Sign in to the new forwarding email address, you can use “Sign In to multiple account” feature to login a new account.
  7. You will see a new email from Gmail Team with a confirmation code and a link. Click the link to verify. If you don’t receive verification email, click Re-send email.

  8. Now choose “Forward a copy of incoming mail to…”, and select drop down with many options as: “keep Gmail’s copy in the inbox” or “mark Gmail’s copy as read”, etc… And click “Save Changes”. Done!

Forward only certain types of messages to another account

  1. In step 3 as above, click “creating a filter”.

  2. There are many options with filter as: From, To (email address), and Subject, or “Has the words”, or “Doesn’t have”, etc, .. Create your filter and click “Create filter with this search”.

  3. Tick “Forward it to” box and select the forwarding email address in the list. Or click “add forwarding address” link to add new email address if your forwarding email address is not in the list.create filter
  4. Choose other optional options for your filter as Skip the Inbox, Mark as read, Star it, etc,.. And click “Create filter”.
  5. Now choose “Forward a copy of incoming mail to…”, and select drop down with many options as: “keep Gmail’s copy in the inbox” or “mark Gmail’s copy as read”, etc… And click “Save Changes”. Done!

Set Up an E-Mail Auto-Responder in Gmail

Going on vacation? No access to the Internet? Use Gmail’s vacation responder to let people know that you won’t be able to get back to them right away. While your vacation responder is turned on, Gmail will send your reply to people who email you. Here is how to use it.

How to turn on your vacation responder

  1. Computer
    • Sign in to Gmail
    • In the top-right, click the gear Settings, select Settings.
    • Scroll down to the Vacation responder section (stay in the “General” tab).
    • Select Vacation responder on.
    • Fill in the date range, subject, and message.
    • You can limit who can see your vacation response.
      • Check the box next to Only send a response to people in my Contacts if you don’t want everyone who emails you to know that you’re away from your mail.
      • If you use Google Apps, you’ll also see an option to only send a response to people in your domain. If you check both of these boxes, only people who are in your contacts and your domain will receive the automatic response.
    • Click Save Changes at the bottom of the page.
  2. Android
    • Open the Gmail app
    • Touch the menu Menu.
    • Touch Settings.
    • Choose your account.
    • Touch Vacation responder.
    • Fill in the date range, subject, and message.
    • Switch from OFF to ON at the top
    • Touch Done.
  3. iOS
    • Open the Gmail app
    • Touch the menu Menu.
    • Touch the gear Settings.
    • Switch Vacation Responder from OFF to ON
    • Choose start and end dates.
    • Fill in the subject and message.
    • Touch Save.
  4. Mobile Web
    • Sign in to Gmail
    • Touch the menu Menu.
    • Touch the gear Settings.
    • Switch Vacation Responder from OFF to ON
    • Choose start and end dates.
    • Fill in the subject and message.
    • Touch Apply.

Note: Your vacation responder settings are synced for all versions included: desktop & mobile version of Gmail.

How to turn off your vacation responder

While the vacation responder is on, you’ll see a banner across the top of your Gmail that shows the subject of your vacation response. Click the End now link in the banner to turn off the vacation responder, or click Vacation Settings to edit your response.

Gmail Filters and Blocked Addresses

In fact, we receive a lot of email each day, includes email that we don’t know or spam email. Gmail provided us the filter feature to get rid of such emails. We will guide you make use of Gmail filters feature to block emails from email addresses you don’t want to receive email:

  1. Login to your Gmail account and select the email message you want to block by clicking on the square on its left side. Check out Gmail Sign In tutorial.gmail filter 1
  2. Click on the “More” option at the top of the email messages list. On the drop down menu that appears, click on “Filter messages like these.” gmail filter 2
  3. On the dialogue box that pops up, click on the “Create filter with this search >>” at the bottom right of the box.gmail filter 3
  4. You’ll then be provided with several options to choose from. To completely block the email address so that you no longer receive any email messages from it, click on the checkbox on the left of “Delete it” option.gmail filter 4
  5. If you also want to delete all the previous conversations with the email address, click on the checkbox on the left of “Also apply filter to [Number of conversations] matching conversations.” Option.gmail filter 5
  6. Click on the “Create filter” button at the bottom left of the box to ensure that the email address is completely blocked. You’re done. If you’ve got any messages from that email address in any of your Gmail folders, they’ll be deleted. If you later want to receive email messages from that address, you can simply.gmail filter 6

Gmail Import Contacts by CSV

You can import your address books (from Outlook, Hotmail, Yahoo!, orkut, and other services) into Gmail, or transfer contacts between Gmail accounts.

Transfer contacts between Gmail accounts.

  1. First, You’ll need to format your contacts as a CSV file. Often times, address books exported from other mail providers are already formatted as CSV files. Check out our tutorial about export Gmail contacts into CSV file as an example. You can only import up to 3000 contacts at a time. If you have more than 3000 contacts, you’ll need to create multiple CSV files to upload.
  2. Sign in to Gmail.
  3. Go to the “old Google Contacts” page. Because the new version of Google Contacts doesn’t support importing contact from CSV files.

  4. Click “Import Contacts…” in the bottom of left menu.

  5. Click “Browse…” and choose the CSV file that is available in your computer, click Import.

  6. Wait for a few seconds and your contacts are imported.

When it’s done, Gmail will display the number of contacts imported. If you receive any error messages during the import, you might need to edit your CSV file.

Import contacts from other providers as Hotmail/Outlook, Yahoo into Gmail

  1. Sign in to Gmail. At the top left, click Gmail > Contacts.

  3. Choose the email service that the email you want to import contacts from belongs.

  4. Click “I agree, let’s go!” to go to the next step.

  5. Sign in the other email account. Enter your email address, click Next, then enter your password to sign in.

  6. Click Agree to let ShuttleCloud Migration help you import contacts. Wait for a few second and you will find the imported contact in your address book.

Gmail’s Priority Inbox Is Awesome

Priority Inbox is one of Gmail’s best unsung features. If you get a ton of emails a day, and sifting through them—let alone getting notifications for them—is a nightmare. Now your inbox is split up into multiple categories, so you see the important stuff right up top, out of the way of the junk.

With Priority Inbox turned on, Gmail will only notify you when you have an important message. If you keep Gmail open in a tab, that unread count only goes up if you get an important email, so you aren’t constantly tempted by an overflowing inbox.

If you use Gmail for Android, you only get push notifications when something important comes through, so your phone isn’t buzzing all day. Here are a few ways to speed that process along.

  1. First: Go About Your Email As Normal: Priority Inbox learns, first and foremost, just by watching you. If you frequently read messages from a specific sender, it learns to mark those as important, and if you frequently reply to emails from them, it knows even better. If you delete stuff without reading it, it’ll learn that those aren’t important. So, the last thing you should do is just go about your email as normal. Give Priority Inbox a bit of time to learn from your actions. If you have just a little bit of patience, you should use Filters and Labels features.
  2. Use Filters and Labels: Filters help Priority Inbox learn really fast. Say you want to mark emails from your coworkers as important. Just create a Gmail filter that matches from:yourcompany.com and check the box that says “Always Mark As Important.” Similarly, you can use any filter to never mark messages as important. Labels work well for this, too. For example, I have a filter that applies a label called “Internal” to emails coming from any of my coworkers. Gmail now recognizes that many Internal emails are important, though it doesn’t always mark them as important. Depending on the sender and the context of the message, it will use the Internal label as one more deciding factor.filters message gmail
  3. Actively Mark Messages As Important (or Not Important): Before it has time to watch your behavior, Gmail does a lot of guesswork when marking messages as important. Just like with its Spam button, it only takes a click to change a message’s importance. If Gmail gets it wrong, just click the little yellow tag to toggle that.mark message gmail
  4. See Why Emails Are Marked as Important: if you’re ever confused as to why Gmail’s marked a message as important, just hover your mouse over that little yellow tag and it’ll tell you! Usually it’s because of “the people in the conversation,” because you “often read messages with this label,” or something like that.why email important gmail
